Are trade fairs worth it for a small B2B service company?
Only if your buyers gather there and you can book meetings in advance. Counting travel and passes, one relevant conversation at a fair often costs €250 to €700.
Trade fairs concentrate buyers, but each useful conversation comes at a high price. Our article on what a new customer really costs prices events at €250 to €400 per relevant conversation in Europe, and other estimates on our blog reach €700 once booth costs are included. A visitor pass with travel and two hotel nights easily passes €1,000 per person.
A quick test: divide the total expected cost by the number of conversations you can realistically have with potential clients. A two-person agency spending €2,400 on a three-day fair that leads to 7 relevant conversations pays about €343 per conversation. If one client is worth €15,000 and roughly one in five conversations converts, that can pay off; if the average project is €3,000, it rarely does.
Fairs work best as a meeting venue rather than a place to wander the halls. Many events now use matchmaking platforms such as Grip to pre-book meetings with attendees, and arriving with a full schedule changes the maths completely.
Go if most of these are true
- Your buyers attendThe exhibitor and visitor lists include companies you would gladly work with, not only your competitors.
- You can pre-bookYou can schedule at least 5 to 8 meetings before you travel.
- Deals are largeOne new client would cover the full cost of the trip several times over.
- Follow-up is plannedSomeone has time in the week after the fair to send summaries and proposals while people still remember you.
- Visiting may be enoughA visitor pass plus pre-booked meetings often delivers most of the value of a booth for a fraction of the cost.
If the numbers do not work, much of the face-to-face effect is available online. Meetcatcher brings the trade fair idea to video calls: it suggests companies that fit yours and you meet them for ten minutes, with no travel.
