How many cold emails can one sales rep send per day?

Around 30–50 cold emails per sending inbox a day is the safe range, and 40–80 personalised first emails is what one rep can research, write and follow up properly.

Two limits apply, and the lower one wins. The technical limit is deliverability: Google Workspace allows up to 2,000 messages a day per user, but cold email from one inbox starts to hurt sender reputation long before that, so most teams keep each inbox at 30–50 cold sends and spread volume across several inboxes on secondary domains. The human limit is attention, because every first email, follow-up and reply takes time.

A realistic day for one rep: researching and personalising a first email takes 3–5 minutes, so 50 new prospects fill about three hours. Follow-ups are lighter, but with a four-step sequence, a rep adding 50 new contacts a day soon has around 150 follow-ups in flight, plus replies to answer. A rep who sends 300 a day is running a template, not prospecting.

New domains need patience. Our guide to doing email marketing right recommends starting at 20–50 emails a day while a sending domain warms up, with SPF, DKIM and DMARC records in place before the first send.

Daily volume by setup

  • One rep, one inbox30–50 new cold emails a day plus follow-ups, which adds up to roughly 630–1,050 new prospects a month.
  • One rep, three inboxes90–150 a day across secondary domains, if research and replies can keep up. Few reps can personalise that many well.
  • Founder selling part time10–20 carefully written emails a day. Fewer, better messages fit an hour of selling, as covered in how many prospects a solo founder should contact each week.
  • Brand new domainStart at 10–20 a day and add a few more each week over four to six weeks.

Volume only matters if it turns into conversations. At a reply rate near 5%, 50 emails a day bring two or three replies, so judge the day by replies and booked calls and pace the rest with a follow-up rhythm that still works. If the call is what you are after, Meetcatcher skips the sending: it suggests companies that fit and you invite them to talk.
