How many meetings does it take to close a B2B deal?
Usually two to three meetings for a small service deal, four to six for a mid-sized contract, and seven or more when several departments and procurement are involved.
The number of meetings follows the number of people who must agree. A founder buying a €3,000 project can decide after a discovery call and a proposal review. A €40,000 contract at a 200-person company needs the user, the budget owner and often IT or legal, and each of them wants at least one conversation.
Whether a first meeting starts a deal at all is a different question. Our breakdown of what 100 cold calls bring shows that typically 10–25% of meetings turn into revenue opportunities. Once a deal is real, the meetings that follow move it towards a signature, and their number depends on deal size more than on your skill.
A worked example: a small agency selling a €12,000 website project usually needs a discovery call, a short workshop with the marketing lead, a proposal walk-through and a final call with the owner. That is four meetings over five to seven weeks, which matches the sales cycle for a small service deal.
Typical meetings per deal size
- Under €5,000Two to three: discovery, proposal review and sometimes a short call to agree the start date.
- €5,000 to €25,000Three to five, adding a workshop or demo for the people who will use the work.
- €25,000 to €100,000Five to seven, with a separate meeting for the budget owner and one for technical or legal questions.
- Enterprise and public sectorSeven or more, often spread over months, including procurement and security reviews.
If your deals need two meetings more than these ranges, check who joins the first call. Getting the person who decides into meeting one or two removes most repeat meetings. That is also why a first call that already includes the decision maker, as on Meetcatcher, tends to shorten the whole sequence.
